Steps to Configure AI Instructions
- Go to AI Receptionist setup - Dashboard tab
- Once you have enabled Virtual Number, you are ready to configure AI instructions.
- For that, click 'Configure AI Instructions'.
- You are redirected to AI Instructions tab.
Enter all the instructions exactly how you would like Kate, AI Receptionist to convey to your customers on call.
- First, enter your Business Name in Welcome Message text field.
- Then, choose a Services template from the template dropdown.
- You can adjust (edit, modify, add or delete) the text in any template you pick.
- Suppose you have selected 'Pressure Washing' template, all the relevant sample services show up.
- Click in the text field to edit, click 'delete' icon to delete or click 'Add new line' to add service with details and pricing.
- Next, Enter "Service Areas" for Kate-AI to know where you provide services so that, it can convey to your customers accordingly. Example: We proudly serve customers within a 20-mile radius of our office, conveniently located at 201 US Highway 175 West in Athens, Texas, 75751.
- Enter your "Business Information". Example: We provide licensed, bonded, and insured dryer vent cleaning to improve airflow, reduce fire risks, and keep your home safe—plus deep safety checks and Lint Guard installation for extra protection, with certified technicians, affordable pricing, and convenient scheduling.
- Enter "Upsells, Specials, Deals and Promotions" if you are offering. Example: We can add a deep clean & safety check for ₹999 extra. Also, a Lint Guard is 20% off if you're interested!"
- Enter "additional qualifying questions" for Kate-AI to ask your customers and gather necessary details. Example: If the service inquiry is for 'Floor Cleaning", Kate-AI might ask "Do we have to move the furniture?" and so on. You can add multiple questions by clicking - 'Add New Line'
- Also mention if you provide "Consultation, Estimates and Quotes".
- Next, if there is any job vacancy or you are hiring at the moment, you can simply enter a text in "Job Applications/Hiring" section. Example: We are hiring Service Technicians, to apply come by the office to fill out an application.
- Click 'Save' to save the changes.
Kate, the AI Receptionist, follows specific AI instructions when interacting with customers. Therefore, these instructions must be clear and accurate.
Steps to enable/disable AI Receptionist
- Go to the next tab- Settings.
- Enable the AI Receptionist by selecting 'Active' from the Status dropdown. (If you select 'Inactive', AI Receptionist will be inactivated till you select 'Active' again)
- Disable for Time Interval: Select the time range when you do not wish AI Receptionist to receive the calls. For Example: I do not wish to receive calls between 12:00 am to 6:00am. I can disable during that timing.
In both the above scenarios, when the Status is Inactive and/or during disabled time interval, calls will be forwarded to your business number.
- Google Voice Call Forwarding: Make sure to enable it by marking the checkbox if you want to forward your Google Voice calls to the Kate-AI Receptionist.

- Click 'Save' to save all the changes you made on Settings tab.
Block unwanted numbers
- Go to the next tab- Blocked List.
- Here, you can add those number which you would like to block. You can do it by clicking '+Add Number'.
- Add Numbers to be blocked in the 'Numbers' text field. You can either add single number or multiple numbers separated by comma.
- Click 'Save'.
- To Edit or delete the blocked number, go to the Blocked List, click 'Manage' dropdown under Action column and click the Edit or Delete option.
