General


1. What is the Employee feature in Markate?
The Employee feature allows you to manage your team members, assign them to specific Work Orders, schedule their jobs, and track responsibilities and performance. This helps improve accountability and team coordination.



2. Why do I need to add employees to Markate?
Adding employees lets you assign Work Orders, track time, manage schedules, and control access to the system based on roles and permissions.



3. How do I add employees to my Markate account?

Log in to Markate → hover over your name → click My Account → go to Membership tab → click Add More Employees → select number from dropdown → click Pay Now → complete purchase → verify Order Confirmation. 



4. How do I create a new employee profile?

Click + New Employee → fill in required details → optionally upload profile picture → assign Role → choose Calendar Color → add About info → select notification preferences → add Pay Type and Pay Rate → click Save & Continue. 



5. How do employees log in to Markate?
Employees log in using their registered phone number or email and the password set during setup.



Assigning Work Orders


6. How do I assign a Work Order to an employee?

While creating or editing a Work Order → scroll to Assign Employee or Assign To → check names to assign → or assign later via Manage → Edit.



7. Can I assign multiple employees to the same Work Order?
Yes. You can select multiple employees by checking more than one name.



8. How do I unassign or change an assigned employee?
Go to Manage → Edit on the Work Order, scroll to the Assign Employee section, and uncheck or select new employees. Click Save to update.



9. What happens if no employee is assigned to a Work Order?
The Work Order remains under the Owner’s responsibility until assigned manually.



10. How can I view which employees are assigned to a Work Order?
Open the Work Order’s View Page or check the right-hand side under Assigned To or Schedule & Assign.



11. Can I view all Work Orders assigned to a specific employee?
Yes. Use the Schedule/Calendar view or filter the Work Orders list by employee name.



12. Do employees receive notifications when assigned a Work Order?
Yes. Notifications are sent via Markate account, mobile app, or other selected notification methods.



Employee Roles & Permissions


13. What are Roles and Permissions in Markate?
Roles and Permissions control what employees can see and do in the Markate app and web. They ensure data security and allow employees to focus on relevant features.



14. What are the different employee roles?

  • Field Tech: App access only.

  • Office Manager: App + limited desktop access.

  • Sales: App + Web access (similar to Office Manager).

  • Accountant: Web access only.

  • Partner: Full access to App and Web.



15. How do I assign or change a role for an employee?
Go to Manage → Edit → Role and Access, select the role, and click Save. Roles can be updated anytime.



16. Can I customize App and Web permissions separately?
Yes. App Permissions control mobile app access; Web Permissions control desktop access. Changes can be applied independently.



17. What can I do with App Permissions?
You can allow or restrict access to Customers, Estimates, Invoices, Leads, Work Orders, Schedule, Items, Expenses, Chat, and other modules.



18. What happens if I don’t assign a role to an employee?
The employee will not have access to any part of the system until a role is assigned.



Employee Clock-In / Time Tracking


19. What is the Employee Clock-In feature?
It tracks the exact time employees spend traveling to and working on jobs. Data is used for Profit & Loss and time-tracking reports.



20. Where is Clock-In available?
Only in the Markate mobile app.



21. How do employees track time?

Tap More → Clock In to start the day, Arrival to track travel time, Start for job time, Pause/Resume as needed, and Complete when finished.



22. Can employees track multiple jobs in a day?
Yes. Repeat the process for each Work Order.



23. Can employees use Clock-In without a Work Order?
Yes. Clock In from the More → Clock In menu for general time tracking.



23. Does Clock-In data appear in reports?
Yes. All time data is recorded in Profit & Loss and Employee Time Log reports.



Employee Email CC


24. What is Automatic Employee CC?
Automatically copies selected employees on all outgoing customer emails to keep them informed.



25. How do I enable it?

Go to Settings → Email Settings, choose roles under Email CC to be CC’d, then click Save. 



26. Which employees are CC’d automatically?
Employees are CC’d based on role (e.g., Office Manager, Partner, Field Tech).



27. Can I change or remove CC settings?
Yes. Edit the settings anytime under Settings → Email Settings.



28. Do employees receive these emails in their inbox?
Yes. Emails are sent to the employee’s registered email addresses.



Employee Management


29. How do I manage existing employees?
Go to More → Employees → Manage. You can:

  • Edit details

  • View profile

  • Mark as Inactive or Delete



30. Why mark an employee as inactive?
To temporarily disable access while keeping their data intact, freeing up a slot for a new employee.



31. How do I mark an employee as inactive or active?

  • Inactive: Go to More → Employees → Manage → Mark as Inactive

  • Active: Go to More → Employees → Inactive tab → Mark as Active



32. Does marking an employee inactive delete their data?
No. Work history, schedules, and permissions remain intact.



33. How are employees notified about assignments?
Notifications are sent via Email, SMS, or App alerts based on preferences set during setup.



Employee Time Log Report


34. What is the Employee Time Log Report?
Tracks employee hours on jobs for payroll or productivity analysis. Available only on the desktop version.




35. Can this report be used for payroll and productivity tracking?
Yes. Provides accurate data for labor hours, efficiency analysis, and performance monitoring.
