General


1. What are Work Orders in Markate?
Work Orders in Markate let you create, assign, and track jobs or tasks for your customers. They act as a job sheet and can later be converted into Invoices or Estimates for billing.



2. How do I create a Work Order?

  • Login to your Markate account.

  • Go to Sales > Work Orders.

  • Click +New Work Order.

  • Fill in the required customer and job details.

  • Add Items (products/services) from your Items list.

  • Save the Work Order.



3. How do I add Items to a Work Order?
Scroll to the Work Order Items section. Add Services/Materials/Products, adjust Quantity, Discount, Tax, Deposits. Items can be selected from your saved list or added manually.



4. Can I attach checklists to a Work Order?
Yes, scroll to the Checklist section, select an existing checklist or create a new one.



5. How do I assign a Work Order to employees?
Go to 'Assign To' section > select employees from your Employee List. If none are selected, it auto-assigns to the Owner.



6. How do I schedule a Work Order?
Scroll to Schedule Work Order > add Start/End Date & Time, customer reminders, event color and save.



7. Where can I view assigned employees and schedule details?
In the Work Order View Page after saving.



8. Can I edit or re-assign a Work Order after saving?
Yes, open the Work Order > click Schedule & Assign > make changes > Save.


Recurring Work Orders


9. What is a Recurring Work Order?
A Recurring Work Order is a work order set to repeat automatically on a schedule, based on a blueprint.



10. How do I create a Recurring Work Order?
Go to Sales > Work Orders > Recurring Work Orders (from left panel) > click +Recurring Work Order. Fill 
details, assign employees, and set recurrence.



11. What recurrence options are available?
Repeat daily, weekly, monthly, every 1–30 days/weeks/months.



12. How do I set an end date for the Recurring Work Order?
Choose: Never, On a specific date, or After a number of work orders.



13. What happens after I save a Recurring Work Order?
A blueprint is created. Work Orders are generated automatically based on the schedule.



14. How do I view Recurring Work Orders?
Go to Sales > Work Orders > Recurring Work Orders.



15. How do I edit a Recurring Work Order blueprint?
From Recurring Work Orders list > Manage > Edit > Save. Changes apply to all future 

work orders.



16. How do I edit just one Work Order in the series?
Open that specific work order > Edit > Save. Changes apply only to that one job.



17. Can I stop a Recurring Work Order?
Yes, go to Recurring Work Orders > Manage > Stop.



18. What’s the difference between editing the blueprint vs. a single work order?

  • Blueprint edit = applies to all future jobs.

  • Single work order edit = applies only to one.


Multi-Day Work Orders


19. What is a Multi-Day Work Order?
A Multi-Day Work Order allows you to split one work order into multiple days or repeat the same job across days.



20. Can I use Multi-Day Work Orders with Recurring Work Orders?
No, these two features cannot be combined.



21. How do I create a Multi-Day Work Order on Desktop?
Open Work Order → click Multi-Day Work Order → choose copy items or empty work order.



22. How do I create a Multi-Day Work Order on the App?
Go to Work Orders → open one → tap More → select Multi-Day Work Order → follow prompts.



23. Can I assign and schedule each child Work Order separately?
Yes. Each child can be scheduled and assigned independently.



24. How do I invoice for Multi-Day Work Orders?
After all child Work Orders are done → go to parent Work Order → Create Invoice. All child WOs combine into one invoice.


Arrival Windows


25. What is an Arrival Window in Work Orders and Events?
It’s a time range for when employees are expected to arrive at a customer’s location.



26. Why is the Arrival Window important?
Improves communication, reduces conflicts, manages delays, sets expectations.



27. Where can I set the Arrival Window Interval?
Settings > Schedule > Arrival Window Interval. Options: None, 15 min–5 hrs.



28. What happens when I set a default Arrival Window Interval?
It applies automatically to new Work Orders/Events (editable per job).



29. How do I create an Event with a default Arrival Window?
Go to Schedule > +Create Event → Enter start time → Window is applied automatically.



30. Can I change the Arrival Window for a specific Event?
Yes. On event creation, click Edit next to Arrival Window Interval.



31. How do I create a Work Order with Arrival Window?
Go to Sales > Work Orders > +New Work Order → fill details → Schedule section applies default window.



32. Can I edit the Arrival Window for a specific Work Order?
Yes. Click Edit next to the interval → choose new one → Save.



33. How do Arrival Windows appear in customer communication?
They can be inserted into Email/SMS templates via placeholders.



34. Can you give examples of Arrival Window calculations?

  • For Scheduled time: 1:00pm,

  • 30-min after: 1:00–1:30pm

  • 30-min before & after: 12:30–1:30pm

  • 30-min before: 12:30–1:00pm
    Not allowed if end time exceeds event end.



35. What if I don’t want to use Arrival Windows?
Select None in settings. Only scheduled start time shows.


Change Orders


36. What is a Change Order in Markate?
It allows adding new items/services to an existing Work Order for customer approval.



37. Can I create a Change Order on App?
No, only on Desktop.



38. How do I create a Change Order?
Open a Work Order with Scheduled/Started/Paused/Completed/Invoiced/Withdrawn status→ Click Change Order → Add items → Approve or Send for customer approval.



39. How does customer approval work?
They can accept/decline via email/WO link → provide name, initials, signature.



40. Can I approve a Change Order on behalf of the customer?
Yes. Either while creating or later via Share WO Link.



41. Can I invoice a Work Order if a Change Order is pending?
No, all Change Orders must be accepted first.



42. Where can I see Change Order history?
At the bottom of the Work Order → shows pending/approved/recorded with details.


Job Costing


43. What is Job Costing in Markate?
A feature to track all costs (items, labor, expenses, overheads) and calculate profit/margins.



44. Where can I find Job Costing?
Sales > Work Orders > Select WO > View Job Costing.



45. Can I create Job Costing for any Work Order?
Yes. After creating a Work Order, open and add/edit costs.



46. How do I add/update costs in Job Costing?
In Job Costing view, add/edit item costs, expenses, labor, mileage, logged time.



47. How is profitability calculated?
Profit = Job Total – (Items + Expenses + Labor).
Profit Margin = (Profit ÷ Job Total) × 100.



48. Is Job Costing available for all jobs?
No. Only for the specific Work Order selected.



49. Can I generate reports for Job Costing?
Yes. Go to Reports > Work Orders Reports > Job Costing Report.



50. What details are included in the Job Costing Report?
Job Total, Item Cost, Expenses, Labor, Profit, Profit Margin.


Clock In Feature


51. What is the Clock In feature in Markate?
It lets employees track exact time spent on each Work Order (available only on mobile app).



52. How do employees Clock In for a job?
Open app → More > Clock In → Arrival → Start → Pause/Resume → Complete.



53. What do the buttons mean?

  • Arrival = notify customer/on the way

  • Start = begin job

  • Pause/Resume = break

  • Complete = end job



54. How many times can buttons be used?
Arrival & Complete = once per job. Start/Pause/Resume = multiple times.



55. What if an employee needs a break?
Press Pause → later Resume.



56. What happens after completing the job?
Press Complete. If last job, Clock Out to end workday/travel time.



57. Can employees track multiple jobs in a day?
Yes, complete one → open next → repeat.


Rescheduling & Reassigning


58. Can I reschedule a Work Order from the mobile app?
Yes, open Work Order > More > Reschedule > change date/time > Save.



59. How do I change the employee assigned to a Work Order?
Open WO > More > Reschedule > Assign Employee > update > Save.



60. How can I check employee availability before assigning?
Tap 'View Availability' while assigning.



61. Can I sync rescheduled Work Orders with Google Calendar in the app?
Yes, Choose 'Add to Google Calendar' after rescheduling.



62. Do I need to confirm reschedule after changes in the app?
Yes, always press Reschedule button to save updates.



63. How do I reschedule a Work Order on desktop?
Go to Schedule → select WO → Edit → change date/time → Save.



64. How do I reassign a Work Order on desktop?
In Edit WO screen → update employee assignments → Save.



65. How can I confirm changes are saved?
Check Work Order view. Updated time/employee will show.



66. Can I reschedule/reassign from Work Orders screen?
Yes. Go to Sales > Work Orders → click Scheduled workorder→ Edit.


Bird’s Eye View


67. What is Bird’s Eye View?
An interactive Google Map showing all Work Orders by location, employees, status, and revenue.



68. How do I access Bird’s Eye View?
Login to your Markate Account → Work Orders → from left menu → Bird’s Eye View.



69. What setup is required for Bird’s Eye View?
Employees must have location tracking enabled in App Permissions + device location on.



70. How does location tracking work?
Pins are dropped when employees press Arrival, Start, or Complete.



71. What filters are available in Bird’s Eye View?
By date range, Customer type (Residential or Commercial), status, employees.



72. How can Bird’s Eye View help my business?
Identify best areas, track employee sales, visualize jobs, and monitor completion.


Work Order Checklists


73. What is a Work Order Checklist?
A list of tasks/items that employees check off during a job.



74. How do I access Checklists?
Sales > Work Orders > Checklists.



75. How do I create a new Checklist?
Click +Add Checklist > enter name/items > Save.



76. Can Checklists be auto- attached?
Yes, on Manage Checklist screen > Choose Residential, Commercial, or Both jobs.



77. How do I attach a Checklist to a Work Order?
When creating a WO, select checklist manually or auto-assign.



78. How do employees use Checklists?
Open Work Order > check items as completed > system records user/time.



79. Can I edit/update a Checklist during/after a job?
Yes, admin can check later > click Update to sync.



80. Where can I review completed Checklists?
In the Work Order screen, showing who completed each task and when.
